GMS Results Coordinator

Job description

Our GMS and Results team develops and manages two bespoke digital platforms and databases – World Aquatics GMS and World Aquatics Results and Rankings. 

 

The General Management System (GMS) is World Aquatics’ (also known as AQUA) core database and acts as the registration system for World Aquatics events (World Championships, AQUA Series events, AQUA Development programmes, etc.) and supports several event services and internal operations. 

 

Our Results and Ranking Database is AQUA’s sole database to manage all competitions results, World Rankings and Series Rankings and is closely linked to the AQUA GMS and Website.

 

The mission of the department is to lead the evolution and delivery of AQUA’s databases and systems and provide daily technical assistance to internal and external users.

 

As a Results Coordinator, you will play a pivotal role in ensuring the accurate and timely compilation, dissemination, and management of competition results across our sporting events.  Working closely with our internal teams, officials and technical staff, you will be responsible for overseeing all aspects of the results process, from data entry to verification and publication.  Your meticulous attention to detail, organisational skills and ability to work in a high-pressure environment will contribute to the success and integrity our sporting competitions on an international scale. 

 

 

Main Responsibilities: 


Results Management:

  • Coordinate the collection, validation, and processing of results from various sources, including electronic timing systems, scorecards and officials’ reports. This responsibility includes all aquatic sports managed by World Aquatics, as well as Masters.


Registrations:

  • Coordinate (master) athlete, team, and federation registration processes for AQUA events.
  • Provide support to (master) athletes, coaches, media, broadcast and member federations regarding the registration for AQUA events.
  • Ensure the different event’s deadlines are met (preliminary entries, if applicable; registration and sport entries), following up with all member federations.


Data Entry and Verification:

  • Enter raw results data into the GMS database accurately and efficiently.
  • Verify the accuracy and integrity of results through cross-referencing with official documents and communication with event officials.


Timely Publication:

  • Ensure that competition results are promptly compiled, verified and published through official channels, including our website, social media platforms and other relevant mediums. 


Communication:

  • Serve as primary point of contact for inquiries related to competition results, providing timely and accurate responses to stakeholders, including (master) athletes, coaches, media and member federations.

 

Technical Support:

  • Provide technical support and training to the OC and officials on the results management systems and protocols to ensure consistency and compliance with the federation’s standards.


Quality Control:

  • Implement quality control measures to identify and rectify errors or discrepancies in results data promptly. 
  • Collaborate with relevant stakeholders to address any issues or concerns that may arise during the results process.


Documentation and Reporting:

  • Create and maintain comprehensive records of competition results, including statistical and historical data. 
  • Generate reports and insights to support decision-making processes within the federation and contribute to post-event evaluations.


Continuous improvement:

  • Proactively identify opportunities for process optimization and efficiency gains to enhance the overall quality of results services provided by the federation.

Profile required

Education and Experience:

  • Bachelor’s degree in sports management, data science, information technology or a related field.
  • Pervious experience in results management or sports administration would event operations ideally within NOCs, IFs, OCOGs or LOCs.
  • Proficiency in data entry and management with a keen eye for detail and accuracy.
  • Strong analytical and problem-solving skills, with the ability to interpret and analyse complex results data.   
  • Excellent communication and interpersonal skills, with the ability to collaborate effectively with diverse stakeholders.
  • Familiarity with results management software and systems, including timing and scoring technologies is desirable.
  • Ability to work under pressure and manage multiple priorities in a fast-paced, deadline driven environment.
  • Passion for sports and a commitment to upholding the values of fairness, integrity and excellence in sporting competitions.
