GMS & Results Systems Coordinator

Job description

Our GMS and Results team develops and manages two bespoke digital platforms and databases – World Aquatics GMS and World Aquatics Results and Rankings.

 

The General Management System (GMS) is World Aquatics’ (also known as AQUA) core database and acts as the registration system for World Aquatics events (World Championships, AQUA Series events, AQUA Development programmes, etc.) and supports several event services and internal operations. The Results and Rankings Database is AQUA’s central platform for managing competition results, World Rankings and Series Rankings, and is closely integrated with GMS and the AQUA website.

 

The mission of the department is to lead the evolution, delivery and operation of AQUA’s General Management System and databases, ensuring reliable, integrated and continuously improving digital solutions for AQUA’s events and operations.

The role will focus on supporting the continued delivery, validation and operation of GMS 2.0 and its related systems, integrations and data flows, while ensuring the effective operation of results and competition technology throughout the event lifecycle.

 

Working closely with development teams, technology providers, event teams and technical officials, you will contribute to platform configuration, system integrations, data migration, system validation and live event operations. You will also coordinate with key technology partners and support the effective integration of GMS with OVR, VAR, timing and scoring systems and other competition technologies.

 

The role requires strong technical and functional understanding, combined with excellent coordination, organisational and problem-solving skills, and the ability to work effectively with both technical and non-technical stakeholders in a fast-paced international sporting environment.

Key Responsibilities

1. GMS 2.0 – Platform & Systems Coordination

• Support the continued delivery, validation and operational readiness of GMS 2.0 and its modules.
• Maintain a strong functional and technical understanding of the GMS 2.0 architecture, components, integrations and dependencies.
• Coordinate GMS 2.0 integrations of the AQUA digital ecosystem.
• Monitor platform status, open issues, dependencies and key delivery milestones.
• Support module and platform migrations, including Equipment, Masters and other relevant systems.
• Contribute to validation strategies, acceptance criteria and readiness assessments for GMS 2.0 modules.

2. GMS & Digital Platform Operations

• Support the day-to-day functional and operational administration of GMS and related platforms.
• Support the operation of systems and services hosted within the AQUA digital ecosystem, including relevant cloud and administration environments.
• Support the management of platform access, permissions, configurations and dependencies in coordination with IT and relevant technology partners.
• Ensure appropriate escalation and follow-up of technical and functional issues.

3. Live Event & Competition Technology Operations

• Support the operation of GMS and related systems during World Aquatics events.
• Coordinate the use of GMS, OVR and other competition technology throughout the event lifecycle.
• Support the integration and operation of VAR and other event technology solutions connected to GMS.
• Coordinate with timing, scoring and results providers during live competition operations.
• Ensure appropriate monitoring, issue escalation and coordination during live events.
• Contribute to the preparation and maintenance of event-day checklists, operational procedures and runbooks.

4. Results, Rankings & Data Systems

• Support the accurate and timely management and flow of competition results and related data across AQUA systems.
• Ensure effective integration between GMS, Results and Rankings systems and other relevant platforms.
• Support ODF/XML processing, ingestion workflows and endpoint configurations.
• Contribute to the validation and publication of competition results, rankings and related data.
• Identify and resolve data or system issues affecting results and rankings in coordination with relevant stakeholders.

5. System Integrations & Data Management

• Support the design, documentation and maintenance of APIs, system interfaces and data flows across the AQUA digital ecosystem.
• Support data quality, consistency and integrity across interconnected AQUA systems.
• Contribute to data migration, reconciliation and remediation activities.
• Maintain an overview of key system dependencies and integration points.

6. Vendor & Stakeholder Coordination

• Act as the key operational and functional contact for technology partners and service providers, coordinating deliverables, issues, dependencies and open actions.
• Maintain effective communication between internal AQUA departments, technical teams and non-technical stakeholders.

7. Legacy Systems & Business Continuity

• Support the continued operation of GMS 1.0 during the transition to GMS 2.0.
• Provide or coordinate operational training for relevant staff on GMS 1.0 and associated processes.
• Maintain relevant legacy-system documentation and knowledge until GMS 2.0 is fully validated and adopted.
• Support business continuity and operational readiness during the transition between platforms.

8. Digital Solutions for Sports

• Evolve and establish digital solutions to support the development and growth of Sports (i.e. Officiating support, certification of facilities, event management, etc.)
• Maintain a collaborative relationship with our various internal and external stakeholders to continue supporting World Aquatics environment with suitable digital solutions.

9. Documentation, Knowledge Management & Continuous Improvement

• Maintain accurate and up-to-date technical and functional documentation covering systems, processes, configurations, workflows, integrations and key dependencies.
• Ensure relevant knowledge is shared across the team and is not dependent on individual stakeholders.
• Identify opportunities to improve system processes, operational efficiency and user experience.

 

Profile required

Education and Experience:

• Bachelor’s degree in Information Technology, Computer Science, Data Science, Sports Technology, Sports Management or a related field.
• Experience working with digital platforms, information systems or technology solutions, ideally in sports, events or an international sporting environment.
• Experience in sports administration, event operations or competition technology is an advantage, particularly within NOCs, IFs, OCOGs, LOCs or other international sporting organisations.
• Good understanding of system integrations, APIs, data flows and databases.
• Experience working with external technology providers, development partners and multiple stakeholders.
• Familiarity with competition technology, including results management, timing and scoring, OVR and other event technology systems.
• Strong analytical and problem-solving skills, with the ability to investigate technical and functional issues and identify dependencies.
• Excellent communication and interpersonal skills, with the ability to work effectively with technical and non-technical stakeholders.
• Strong organisational skills and attention to detail, with the ability to manage multiple priorities and tight deadlines in a fast-paced international environment.
• Passion for sports and an interest in using technology to support international sporting competitions.
