Job description
• Manage the end-to-end monthly payroll process using ABACUS tool.
• Ensure accurate and timely processing of salaries, allowances, overtime, variable compensation, deductions, and expense-related payments.
• Validate payroll data and perform payroll audits and reconciliations prior to payment processing in close collaboration with the crewing team
• Prepare and maintain payroll records, reports, and statutory documentation.
• Act as the primary point of contact for payroll-related employee inquiries.
• Maintain accurate employee lifecycle administration and up-to-date personnel files and employee records.
• Manage registrations, changes, and terminations with social insurance providers and pension institutions.
• Coordinate and follow up on accident, illness, disability, and return-to-work processes.
• Monitor compliance with internal policies and legal obligations regarding employee absences.
• Maintain strong relationships with external insurance providers and authorities.
• Ensure full compliance with Swiss labor law, employment regulations, social security legislation, and payroll requirements.
• Monitor legislative changes and implement necessary updates to payroll and personnel administration processes.
• Ensure accurate reporting to relevant Swiss authorities and institutions.
• Contribute to the creation, implementation, and continuous improvement of HR policies and procedures.
• Participate in HR transformation initiatives and process improvement projects across the department.
• Propose and implement creative solutions to enhance crew experience and HR operational efficiency.

You ensure every employee is paid accurately and on time, personnel administration is fully compliant, insurance and absence cases are managed effectively, and the company remains aligned with Swiss payroll and employment regulations. Your expertise provides a reliable foundation for the company's vessel operations and shore-based workforce alike.
Profile required
• You hold minimum a Bachelor degree and can demonstrate several years of experience in a dedicated payroll position in Switzerland.
• You possess a strong knowledge of Swiss payroll administration, Swiss labor law, social insurance regulations, pension requirements, and employment legislation.
• You maintain a high level of accuracy, confidentiality, and attention to detail
• You are able to adapt to diverse cultural backgrounds.
• You are able to build trust, remain approachable, and act with fairness, discretion and empathy.
• You feel comfortable operating independently and taking ownership of payroll activities.
• You are able to balance compliance requirements with operational activities.
• You are fluent in English and German (written and spoken).
• Having hands-on experience with Abacus Payroll is considered a plus.
• Having experience with supporting blue-collar or operational populations (preferably in inland shipping) is considered a plus.
