Administrative & Human Resources Assistant

Job description

What you will do
As our Administrative and HR Assistant, you will:

General Administration
 Welcome guests and be the point of contact for the office building’s reception and visitors
 Ensure the smooth running of the Foundation’s offices (including P.O. box management, stationary and other consumables follow up)
 Be in charge of the petty cash follow up for the office expenses in collaboration with the Accounting Assistant
 Perform various administrative and secretarial tasks as required
 Ensure that OPS related invoices are paid in a timely manner and contribute to the follow-up of the OPS budget in collaboration with the Finance Manager
 Provide logistical support for internal and external meetings, events and assist in the meeting preparation as required
 Act as Focal Point for travel requests, ensures a proper follow-up and provides support to the team members in their travel needs if requested (including flight bookings)


Digital Infrastructure
 Act as focal point for the externalized IT support and serve as primary point of contact for any IT queries
 Manage IT supplies, inventories (IT material, and mobile/landline phone numbers)
 Ensure first level troubleshooting for on-site requests not managed by externalized IT support

Human Resources
 Assist with onboarding new hires and managing updates to employee files throughout their employment. This can include handling tasks like work permits, social insurance announcement, pension fund, child allowances, compensation & benefits and leave management.
 Support the Deputy Executive Director by coordinating the recruitment process, including publishing job announcements, scheduling interviews, assessments and managing interview logistics.
 Assist with preparing and processing monthly payroll.
 Assist with administrative tasks related to the Organization's learning and development programs
 Assist with administrative tasks related to the performance management processes.
 Draft and prepare HR documents such as job descriptions, announcements, contracts, certificates, and letters.
 Participate in the maintenance of the Human Resource Information System (HRIS) and support the digitalization of HR archives.

Profile required

What You bring - We are looking for someone who has:

• Minimum of 1 year of relevant work experience
• Experience working with Outlook and MS Office applications
• Experience working for an International non-for-profit agency / organization is considered as an asset
• Graduate degree or CFC / professional maturity with equivalent in experience to reach graduate level
• Excellent time management and organizational skills
• Attention to detail in handling documentation and information
• Ability to use initiative, prioritize, multi-task, and proven ability to meet deadlines
• Clear and systematic thinking that demonstrates good judgment and problem-solving competencies
• Good analytical skills
• Well organized and structured
• Ability to supervise an Intern or Apprentice
• Ability to manage small projects if delegated by upper levels with close supervision
• Excellent written and oral communication and interpersonal skills in a fast-paced multi-cultural and multilingual environment 
• Capacity to work autonomously as well as a team player
• Capacity to interact with internal and external stakeholder
• Knowledge, interest and a strong commitment for the work and mission of UNHCR and the refugee cause
• Excellent command of English and French (German an asset)
• Excellent computer skills and knowledge of MS Office applications
• Working knowledge of office equipment
• Basic troubleshooting skills to assist with common IT-related issues
• Ability to identify and resolve administrative challenges
